Artifacts & Playbook Updates Workstream - Sprint 3

Thanks to everyone who reviewed and provided feedback on the Sprint 2 items in the Artifacts & Playbook updates workstream! This email officially closes Sprint 2 and kicks off Sprint 3.

Sprint 2 is closed:

Based on your review and feedback, here is where we are today:

• Change order definition and process documentation: Feedback shared with Jenny Hardisty and will be leveraged in the Operations Enablement project.

• Best practices document for managing client expectations around project change: Minor content updates based on feedback and a full reformatting to the Best Practices Guide: Managing Client Expectations Around Project Change. This guide is now uploaded to the Playbook, recognizing it is meant to be an evolving document as new project examples, samples, etc., are shared.

• We’re updating the phase overview transition decks and role & responsibility review workbooks based on feedback. We will be uploading those to the Playbook as supplemental tools when transitioning from one phase to the next, to support our project teams in collaborating and aligning on roles and responsibilities specific to their project, and when considering various scalability factors.

Sprint 3: What we’re asking you to do by Friday, January 12

As everyone reviewed the Sprint 2 items, Emily and I worked on  project role & responsibility descriptions for the Playbook, to align with outcomes from this initiative and because that section of the Playbook is mostly empty.

The descriptions are meant to follow the same format, be high-level but informative for someone browsing through the Playbook, and act as a point of reference and reinforcement for our project teams. These descriptions will live in the Roles & Responsibilities section under “Foundational Concepts” in the Playbook. All primary client-facing roles are included, but there are more nuanced roles we haven’t done yet. Once we get through this first wave, we’ll add any roles we’re currently missing.

This will be the sole item we ask the group to review this sprint. Here is a reminder on instructions:

• Access the Artifacts & Playbook Validation Workbook and read the instructions on how to use the workbook in the first tab.

• Review the linked item in row 15.

• In your column, select from the dropdown if you approve or want further review of the item.

• For any item you mark as “Needs Further Review,” please provide brief comments in row 16 with feedback for the CI Team to review and make updates based on.

• For this one, you can also send your feedback via email if easier than typing notes in the workbook.
